Event & Session Check-In Guide

This feature allows event planners and check-in managers to check in attendees by scanning their QR codes using phone cameras or QR codes for both overall event check-in and per-session check-in.

There are two ways to log in as a check-in manager or an admin, depending on your device: using the Sched Count app or a web browser. Both methods provide the same check-in functionality, allowing you to scan QR codes and manage attendee check-ins. The difference is that iOS users can use the app, while Android and desktop users currently use the web browser.

Important Updates:
  • Sched Count app (iOS only) now supports QR code scanning for event and session check-in.
  • iOS Web login on iOS 26 does not support QR code scanning. iOS users must use the Sched Count app for QR code scanning.
  • Android users and desktop users must use a web browser.

How To Log In as a Check-In Manager or Admin

iOS Users – Sched Count App

  1. Open the Sched Count app and log in with your admin/check-in manager credentials.
  2. Navigate to Check-In in the app.
  3. Scan QR codes directly from attendee profiles to check them in.

Note: iOS Users – Web Browser (iOS 26) QR code scanning is not supported when logged in via the web. Use the Sched Count app instead.

Android Users or Desktop Users – Web Browser

  1. Go to Schedule > Check-In (if you are an Admin). If you are a Check-In Manager, proceed to Step 3 to paste the URL and log in.
  2. Click the bookmark icon to access the check-in page, or copy the URL to share with the Check-In Manager.
  3. If you are using an Android or a Computer, tap the bookmark icon, copy the link, and paste it into your mobile or web browser to log in.

How To Check In Attendees for the Overall Event

Scan QR Codes

1. Sched Count App (iOS): Tap the QR scanner in the app or scan from the attendee profile, then tap Check-In to Event.
 
Note:
  • In the Sched Count app (iOS), the Event Check-In button appears only after scanning an attendee’s QR code
  • OS Web (iOS 26): QR scanning not supported, use the Sched Count app.

2. Web Browser (Android/Desktop): Use your device camera, then tap Check-In to Event.

Manual Check-In

  • Search for attendees by name and toggle them on to check them in. Manual check-in is available both in the web version and the Sched count app.

How to Check In for a Session  

There are two options for session check-in:

1. By Check-In Managers Check In Attendees 

Check-In Managers can check in attendees using the following methods: 

  • Manually: Select the attendee’s name from the list and toggle them on for check-in. In both the app and web versions, a Check-In Manager can manually check in attendees by selecting their names from the list and toggling them to check-in status. You can also add attendees who are not yet part of the session and check them in.  For both the web and Sched Count app, when adding an attendee manually, you should use the email address they are currently registered with in the event. This ensures their profile automatically appears after they are added.
  • Attendee Search Check-In: In addition to scanning QR codes, Check-In Managers can search for attendees by first or last name to check them into sessions. Searching by name is quick and easy, even when there are many attendees.

  • Check-In Manager can scan the attendee’s profile QR code to check them in. This option is available both in the web version and the Sched count app. 

2. Attendees Can Self-Check In 

Attendees can check themselves in using the following methods: 

  • Scanning the Session QR Code: Attendees can scan the session QR code using their mobile device to check in.

Attendees have two options for scanning the QR code:

    • Once logged in, they can tap the QR code icon to scan.
    • They can use their phone camera to scan the QR code directly. However, they must ensure they are logged in on their mobile browser before scanning with their phone camera.
  • Manually Checking In: Attendees can open the session in Sched and click the “Check-In” button.  Attendees can manually self-check in both on the web and in the Sched app.

Important:

  • Use the Sched Count app (iOS) for QR code scanning on iOS 26 devices.
  • Android users or desktop users should use a web browser.
  • Ensure attendees are added to the event before scanning QR codes or performing manual check-in.
  • When adding attendees manually, use the email address registered with the event to ensure their profile appears.


How to allow attendees to check in via QR Code

You can enable QR code check-in for attendees to allow for a quick and effortless check-in to sessions. When an attendee scans the QR code for a session, it will prompt them with a "Check In" button. The participant must click this button to complete their check-in. Please note that if they do not already have the session added to their personal schedule, they will first be alerted that they need to add the session. Once added, they can rescan the QR code and then tap the "Check In" button to confirm their attendance.
 
To enable this, follow these steps:
  1. Go to your event’s Control Panel

  2. Under Settings > General

  3. Toggle on the ‘Allow QR Code Check-In‘ button under the Attendance section

  4. Click on the Save button.


Print session QR Codes and download Check-in data

You can print session QR codes and display them at the venue. This will allow attendees to view the session information and check themselves in. Please ensure that ‘Attendee Self-Check-In’ is enabled in your settings to allow attendees to check in.
 
To print QR Codes or download check-in data, follow these steps;
  1. Go to your event’s Control Panel.

  2. In the “Sessions” section, select the session you want to print the QR Code.

  3. Under the ‘Check-In‘ tab, click on the QR Code icon to print or export icon to download Check-in data.


View attendee check-in

See if an attendee has checked in to your event or a session. In the attendee list on the control panel, check-in indicators per attendee show if they have checked in for the entire event or a specific session.
 
Clicking on the check mark will display the details of their check-in to an event or session, including the date and time of check-in.
